The route may be straightforward. The arrival is not. Flight details, baggage, connectivity, meeting instructions and the first hotel's real location all deserve a place in the plan.

01 · TIME

Record the flight; do not invent a curbside minute.

Landing, immigration, bags and arrival-hall tasks create a variable interval. Share the flight number and arrival date so the operating arrangement can follow the real arrival.

Take special care around midnight. The date on the flight, the pickup and the hotel booking can be different calendar references.

02 · MEETING

One named place and one fallback contact route.

The confirmation should explain where the driver waits and what happens if traveller and driver do not see each other. Keep the reference and contact available offline.

Share only the information necessary to operate the journey. Public scheduled and requested ride pages never need the traveller's private contact details.

03 · FIRST NIGHT

Choose the destination around the traveller, not only the itinerary.

Some travellers are comfortable continuing to Kandy or the south coast after an overnight flight. Others benefit from a first night closer to the airport. Age, sleep, arrival hour and the following morning matter.

If continuing, keep optional stops light and confirm that the destination property can receive the arrival.

04 · VEHICLE

Airport luggage reveals weak capacity assumptions quickly.

Count checked cases and cabin bags separately. Include pushchairs, wheelchairs and specialist equipment before the driver and vehicle are assigned.

A comfortable first transfer is not necessarily the largest vehicle. It is the vehicle that safely fits the actual group and luggage.
